Getting paid on time is a skill as important as creating great content. Professional invoicing builds trust with brands, protects your cash flow, and positions you as a business — not just a freelancer sending Venmo requests.

Wave (free), HoneyBook (popular with creators), and FreshBooks (best for scaling) are the three most-used options. All of them let you create professional invoices, send automatic payment reminders, and accept credit card or ACH payments directly.

Payment terms that protect you

Standard terms for UGC: Net 15 for clients under $1,000, Net 30 for larger deals. Always require 50% upfront before starting work. For new clients you haven't worked with before, I recommend 100% upfront for deals under $500 — you'd be surprised how many brands are comfortable with this.

Handling late payments

Send a friendly reminder the day a payment is due, a follow-up 3 days later, and a firmer reminder at 7 days. After 14 days overdue, pause any ongoing work and state clearly that deliverables will resume when payment is received. Keep all communication professional — you want to get paid and keep the relationship.

International payments

For international clients, Wise (formerly TransferWise) offers the best exchange rates. PayPal works but takes a larger cut. Always invoice in your home currency unless the client specifically requests otherwise, and factor in any conversion fees when quoting your rates.
